As part of this role, you will provide academic and cultural support to undergraduate students, organize co-curricular activities, and contribute to overall operations. You will work independently, but with support from the Director and other team members. Collaboration with colleagues from various departments will be essential. The position can be carried out from home, with occasional meetings on campus or during activities/excursions. You will also provide advising for Australian Outbound programs and perform administrative work for custom programs. The hours are flexible to accommodate your schedule. Key Responsibilities:

Inbound Responsibilities:
– Prepare and deliver pre-arrival student webinars
– Coordinate and support excursions, orientations, and other events
– Assist with custom program coordination, including bookings, communication, budget updates, and itinerary planning
– Conduct appreciative advising meetings and regularly meet with students to assess their experiences and address concerns
– Monitor student integration and well-being through regular communication and on-campus visits
– Assist with academic management of programs, including course registration, advising, and learning plan consultations
– Coordinate booking and timetabling of IFSA classroom space
– Support planning and delivery of custom programs, potentially coordinating onsite programming
– Contribute to emergency response and student incident management, including after-hours emergency phone rotation
– Serve as the initial point of contact for general student inquiries
– Assist the Director with student services and Australia/New Zealand operations
– Handle other duties and projects as assigned, such as remote work on other IFSA site operations, pre-arrival student advising, and institutional partner relationship development
– Maintain a service-oriented mindset to promptly respond to student and institutional partner inquiries and collaborate internally with IFSA colleagues

Outbound Responsibilities:
– Advise Australian outbound students on overseas programming options and assist with the application process, including program selection, course selection, transfer credit, and pre-travel preparations
– Maintain accurate student records and generate reports
– Communicate with sending universities to support administrative processes
– Assist with creating and revising documents, collateral, and website content
– Participate in Learning Abroad fairs in Australia to recruit students and potentially present at universities
– Engage with university partners to promote short-term and custom program options and support enrollment and partnership initiatives
– Provide administrative assistance to the Director and Regional Director as needed

Requirements, Work Experience, and Education:
– 1-2 years of work experience in study abroad, higher education, hospitality, tourism, or non-profit industries (or similar)
– Passion for IFSA’s mission, vision, and commitments
– Strong time management and planning skills with the ability to work independently on time-sensitive tasks
– Attention to detail in managing program and administrative data
– Ability to engage and support a diverse range of students, including those from various backgrounds and with different needs
– Flexibility and adaptability to handle changing situations and shifting priorities
– Ability to remain calm and professional in emergency situations
– General knowledge of the university system and student life in Australia
– Undergraduate degree preferred, but not required
– Legal right to work in Australia

Physical and Work Environment:
– Working on a computer and making phone/video calls
– Required travel within the city and program locations, potentially in various weather conditions
