Job Title: Gift Coordinator
Organization: Texas A&M International University
Department: Office of the VP for Institutional Advancement
Preferred Minimum Salary: $19.06 per hour

Job Summary:
The Gift Coordinator, under general supervision, is responsible for planning and executing fundraising projects, maintaining communication schedules, and managing a donor list. They serve as the main point of contact for major fundraising inquiries, record donor interactions, and update an information database to track progress towards fundraising goals.

Essential Duties and Responsibilities:
– Maintain and update donor data entry
– Verify and process gifts, ensuring they are correctly allocated to campaigns, funds, and appeals
– Oversee corporate matching gift requests and ensure accurate processing of online gifts
– Reconcile donor gift entries and prepare monthly gift reconciliation reports
– Generate monthly reports for distribution across the campus
– Create and manage account profiles for new accounts, and clear accounts daily from the database
– Assist in developing written procedures for gift processing and cash handling
– Provide customer service to alumni, donors, faculty, and staff

Additional Responsibilities:
– Assist in budget preparation and tracking for the department and donor accounts
– Develop gift agreements, acknowledgments, and pledge reminders
– Collaborate with Financial Aid to ensure timely scholarship awards and collection of student appreciation notes for donors
– Personalize letters and notes to contributors
– Provide non-financial utilization updates to donors
– Establish a tracking system for renewal requests of annual scholarships and scholarship endowment gifts
– Serve as a backup for deposit preparation and payment reconciliation

Minimum Requirements:
– Education: Bachelor’s degree in a relevant field
– Experience: Three years of related experience in donor relations, gift processing, accounting, or a related area
– An equivalent combination of education and experience may be considered

Preferred Education and Experience:
– Knowledge of Blackbaud, FAMIS/CANOPY, and/or Banner

Knowledge and Abilities:
– Knowledge of word processing and spreadsheet applications
– Ability to multitask and work cooperatively with others
– Strong verbal and written communication skills
– Strong interpersonal and organizational skills

Preferred Knowledge and Abilities:
– Strong networking skills for working collaboratively with internal and external stakeholders
– Ability to perform duties with accuracy and confidentiality
– Possess integrity, sincerity, initiative, and a strong drive for success
– Ability to work independently

Supervision of Others:
This position generally does not supervise employees.

Other Requirements:
– May require evening and weekend work, as well as extended hours on short notice
– Position requires on-campus, face-to-face interactions
– Position requires maintaining a regular schedule of attendance on campus and in the workplace
– Occasional travel may be required
