**Job Title: International Services Specialist**
**Job Summary:**
The International Services Specialist plays a vital role in supporting the administrative functions of the Global Engagement Office’s English Language Program and Passport Acceptance Facility at Florida Gulf Coast University (FGCU). This position encompasses a variety of tasks including, but not limited to, office management, public engagement, and clerical duties.

**Key Responsibilities:**
– Act as a primary public contact for the English Language Program and Passport Acceptance Facility; manage inquiries via email, mail, telephone, and in-person interactions.
– Serve as a Passport Acceptance Agent.
– Oversee daily operations and clerical tasks for the FGCU Passport Acceptance Facility, ensuring compliance with Federal and State guidelines, processing applications, customer education, cashiering, and quality control.
– Handle international applicant files, including foreign transcripts and financial documentation for immigration review, preparation, and verification.
– Ensure accurate data collection and record-keeping for all passport operations.
– Liaise with the US Passport Agency in Miami, maintaining updated communications.
– Review and validate documents to ensure comprehensive academic records are recorded in the system.
– Coordinate travel arrangements, reservations, and reimbursement processing for program staff and affiliates.
– Maintain a high level of confidentiality and customer service.
– Update student lists, prepare mailings, and perform data entry.
– Manage office supply inventory, interact with vendors, and handle space, equipment, or facility issues.
– Assist in coordinating events for the Global Engagement Office.
– Support the development and updating of online training modules, office handouts, mailings, forms, and website content.
– Compile and manage information regarding transaction processing for fees or expenditures including English Language Program tuition.
**Additional Responsibilities:**
– Perform other job-related duties as assigned.
**Required Qualifications:**
– High school diploma with four years of full-time relevant experience.
– Current US Acceptance Agent certification or the ability to obtain within three months of employment.
– Equivalent combinations of education, experience, and/or certifications may be considered.
– Proficiency in using personal computers and Microsoft Office Suite (Word, Excel, Outlook).
**Preferred Qualifications:**
– Experience in a higher education setting.
– Familiarity with Workday.
– Experience working with international students.
– Knowledge of immigration and visa requirements for international students.
– Previous experience as a Passport Acceptance Agent.

– Understanding of general office procedures.
– Exceptional interpersonal, verbal, and written communication skills.
– Strong organizational skills with the capacity to prioritize and manage multiple tasks under deadlines.

– Proficiency in operating office equipment including computers, copy machines, fax machines, and calculators.
– Ability to learn and adapt to new applications and systems.
– Capacity to work both independently with minimal supervision and as part of a team.
– Professional interaction skills with a diverse group of faculty, staff, students, and the broader community.
– Consistent application and interpretation of laws, regulations, policies, and procedures.
