Job Summary:
We are currently looking for two team assistants to join the expanding Global Summer School at Imperial College London. Imperial College London is a renowned institution in the fields of science, technology, engineering, mathematics, and medicine (STEMB), known for its excellence in teaching and research. The positions are part of the College’s Commercial Operations team and involve managing the organization and delivery of Imperial’s two residential summer schools in July and August, as well as potential online programs.
In its 10th year in 2024, the Global Summer School will select 500 students aged 16-17 through a competitive application process. These students will participate in a two-week residential summer school. During the 2023 residential program, students from 50 different countries participated in Engineering, Physical Sciences, and Medicine and Life Sciences courses.
Duties and Responsibilities:
As a team assistant, you will play a critical role in ensuring the smooth running of the Global Summer School program. This will involve various tasks, including assisting with assessment, recruitment of mentors, customer service, and program planning and delivery. Additionally, you will be the primary point of contact for all student inquiries and provide support throughout the student administration cycle, including processing applications, course fee payments, visa letters, and handling sensitive information such as students’ medical records.
Essential Requirements:
To be successful in this role, you should have excellent experience working in a busy office environment handling administrative tasks. Ideally, this experience would be in a Higher Education setting, where you have gained the ability to manage a varied workload with tight deadlines. Attention to detail, problem-solving skills, and the ability to work under pressure and prioritize tasks are essential qualities for this position.
Strong written and verbal communication skills in English are necessary, including the ability to tailor your communication for different audiences and channels. You should also have proficiency in interacting with a wide range of internal and external contacts and a good understanding of summer schools or short course programs. Given the international nature of this program, cultural sensitivity and knowledge are crucial.
Further Information:
This is a full-time, fixed-term position for 2 years. The role is based at Imperial College London’s South Kensington Campus. There may be an option for hybrid working, with staff expected to be on-site for 60% of their working time. The possibility of hybrid working will be discussed during the interview process.
