Position: Business Support Assistant
Reporting to: Deputy Program Director
Location: London

The American Institute for Foreign Study (AIFS) was established in 1964 and has provided educational and cultural exchange programs to over 1.6 million students. AIFS Study Abroad sends approximately 6,500 American college students abroad each year, with 2,500 on customised, faculty-led programs and 4,000 studying at local universities in Asia, Australia, Europe, Africa, and the Americas.

Job Summary/Main Purpose:
AIFS Abroad is currently seeking a Business Support Assistant for its London Offices. The main responsibility of this role is to support the Finance Manager and the Deputy Program Director, as well as establishing connections with overseas offices.

Responsibilities:
– Manage petty cash, including processing, disbursing, and reconciling petty cash.
– Provide support to the Finance Manager in preparing management accounts, month-end duties, and the year-end process, including accruals.
– Request funds transfers for overseas programs in accordance with anticipated budget expenditures.
– Administer pre-paid debit cards for staff and programs.
– Assist with budget preparation and updates.
– Review division-wide documents, including spreadsheets, for accuracy.
– Collaborate with colleagues to enhance operational practices and efficiency.
– Undertake any other duties that are appropriate for the role.

– A-level education or equivalent experience.
– Strong written and verbal communication skills.
– Numeracy skills and the ability to maintain expenditure records.

– Ability to handle confidential information discreetly and ensure appropriate safeguarding.
– Initiative and problem-solving ability.
– Well-developed interpersonal skills and a confident and helpful demeanor.
– Ability to work independently and as part of a small team.
– Commitment to quality, flexibility, good interpersonal skills, ability to prioritize.
– Proficiency in Microsoft Office programs, particularly Excel.

Salary and Benefits:
In return for a minimum 35-hour working week from Monday to Friday, the position offers a basic gross salary of £30,000 per annum + benefits. Additionally, 22 days of paid holiday per year, plus bank and public holidays.
