German Historical Institute London

An Administrative Officer position is available at the German Historical Institute London and can be filled on a full-time (40h/week) or part-time (24h/week) basis. The successful candidate will commence employment as soon as possible.

About us:

The German Historical Institute London (GHIL) is an independent academic institution located in a diverse and cosmopolitan city. As a member of the Max Weber Foundation – German Humanities Institutes Abroad, the institute focuses on researching British–German relations, British history, and colonial history from a comparative, transcultural, and global perspective.

About you:

  • A native German speaker or high-level proficiency in the language
  • A completed vocational training programme (Berufsausbildung) in administration, e.g. as an administrative officer (Verwaltungsfachangestellte), management assistant (Kauffrau/-mann für Büromanagement), or a similar qualification.
  • Significant experience in human resources management
  • Thorough knowledge of the German Federal Act on Travel Expenses (Bundesreisekostengesetz, BRKG) and the German Federal Act on Relocation Expenses (Bundesumzugskostengesetz, BUKG)
  • Understanding of German federal budgetary law

Preferred Skills:

  • Experience in accounting using standard ERP software (e.g. MACH)
  • Knowledge of procurement procedures
  • Familiarity with foreign service benefits under the German Federal Civil Service Remuneration Act (Bundesbesoldungsgesetz, BbesG)

About the role:

  • Responsibility for human resources management, including colleagues hired under the TVöD Bund collective wage agreement
  • Calculation and disbursement of additional benefits (Nebengebühren)
  • Providing advice to colleagues on business travel, relocation, salary, and other benefits
  • Procurement and management of office supplies and equipment
  • Accounting
  • Maintenance of various administrative software applications (e.g. sms, TimO, YouManage)

The position is located in London with limited mobile working opportunities. The starting annual salary (full-time) is between £38,502 and £41,190, depending on professional experience. In addition, we offer a generous pension scheme, bank holidays, and enhanced parental pay.

The salary is generally taxable in Germany, with the exception of British nationals who do not possess German citizenship. Applicants must be able to demonstrate their right to work in the UK.
