OVERVIEW The Academic Records Administrative Associate supports Education Abroad within Texas Global at The University of Texas at Austin. This role focuses on processing study abroad credit, maintaining course equivalency records, and assisting students, faculty, and staff with credit-related questions and procedures. The position works closely with campus partners including the Office of the Registrar, Office of Undergraduate Admissions, and Office of Graduate Admissions to ensure accurate academic record processing. KEY RESPONSIBILITIES – Prepare and review documents and associated forms for education abroad credit processing in accordance with university policies and procedures. – Audit credit forms for accuracy. – Work with students, academic departments, and international partners to resolve complex credit cases under the direction of the Academic Records Coordinator. – Manage course equivalencies in the My Credit Abroad database. – Ensure accuracy and integrity of course equivalencies. – Guide course evaluators through procedures for evaluating academic course credit earned on education abroad programs. – Serve as a resource for faculty and staff on course equivalencies and grade conversions. – Respond to requests for information from students, faculty, staff, and academic advisors. – Provide reports and summary data as needed. – Assist students while abroad and upon return with course equivalency, credit, and grade questions. – Recommend and implement improvements to credit processes and technology systems. REQUIREMENTS – High school graduation or GED. – Three years of experience with clerical functions. – Proficiency in MS Word and Excel. – Ability to examine, organize, and report information accurately. – Strong attention to detail and accuracy. – Ability to understand and follow complex written and oral instructions. – Excellent interpersonal, communication, organizational, and writing skills. – Proven problem-solving skills. – Demonstrated initiative and judgment. – Ability to work independently and as part of a team. – Experience providing support in a customer service environment. – High level of professionalism. – Ability to prioritize responsibilities and manage multiple concurrent projects. – Equivalent combination of relevant education and experience may be substituted as appropriate. – Preferred: Bachelor’s degree and three years of clerical experience. – Preferred: Experience working with University of Texas at Austin policies and procedures. – Preferred: Knowledge of UT Mainframe, Adobe Acrobat, DocuSign, Canvas, and UT Box. – Preferred: Knowledge of a foreign language. – Preferred: Experience studying, living, or working overseas.
