We are seeking an enthusiastic and student-focused Student Admissions Officer to guide prospective students through their journey into OUM’s MD program. In this part-time (4 days/week), ongoing role based on-site in Hamilton, Brisbane, you will be the first point of contact for future students across multiple regions. You’ll manage the end-to-end admissions process—from initial enquiry through to offer and matriculation—providing a responsive, professional, and engaging experience. You’ll assess applications, coordinate and support interview processes, and contribute to fair and informed selection decisions within a rigorous medical education environment. This role works closely with faculty and professional staff and supports recruitment-related activities and events. You’ll join a small team in a fast-paced, globally focused university, bringing strong attention to detail, sound judgement, and the confidence to engage professionally with applicants and the broader university community. Some early-morning meetings and occasional weekend work may be required to support university activities. This is a part-time, ongoing, hybrid position based in Hamilton, Brisbane. Key Responsibilities Prospective Student Engagement & Application Support Respond to enquiries via phone, email, and online forms with timely, accurate information. Provide clear, personalised guidance on MD program pathways and admissions requirements. Support applicants with preparing and submitting complete applications. Conduct screening interviews and prepare applicants for admissions panels. Assessment, Coordination & Admissions Operations Review applications using established rubrics and determine progression eligibility. Coordinate and schedule admissions panel interviews. Maintain accurate records across HubSpot, SIS, and shared systems. Prepare decision letters, manage tracking tools, and ensure documentation accuracy. Recruitment, Outreach & Representation Represent OUM at conferences, webinars, events, and student gatherings. Provide feedback to Admissions and Marketing teams to enhance prospective student materials. Compliance, Reporting & Continuous Improvement Maintain up‑to‑date knowledge of licensure requirements across key regions. Prepare admissions activity reports and contribute to process improvement initiatives. Participate in team meetings and broader operational support. About You (Selection Criteria) Qualifications & Experience Bachelor’s degree (preferably business‑related) or equivalent experience. 3–5 years’ experience in administrative or customer‑facing roles, ideally in higher education. Skills & Attributes Excellent interpersonal and communication skills. Strong organisational ability with high attention to detail. Ability to manage competing priorities and meet deadlines. Professional presentation and capability to represent the University in recruitment settings. Technical Skills High digital literacy, including Google Workspace and Microsoft Office. Experience with CRM or database systems (e.g., HubSpot). Other Requirements Adaptability, sound judgement, and effective problem‑solving skills.
