OVERVIEW The Student Records Officer at Bendigo Kangan Institute (BKI) plays a critical role in ensuring the integrity, accuracy, and compliance of student academic records across the organisation. Based primarily at the Bendigo City Campus, with travel to other campuses as required, this full-time fixed-term role runs until 28 September 2026. The position combines detailed administrative work with strong customer service, supporting both students and internal stakeholders within one of Victoria’s largest TAFE providers. KEY RESPONSIBILITIES – Maintaining and updating student records in line with institutional policies and regulatory requirements – Reviewing and processing amendments including results, withdrawals, attendance, transfers, and enrolments – Managing student account updates such as refunds and holds in consultation with the Finance team – Issuing and quality-checking testamurs and awards aligned with the Australian Qualifications Framework (AQF) – Performing data cleansing activities to support accurate reporting and compliance obligations – Providing advice to internal stakeholders and students regarding student record updates – Escalating complex, non-compliant, or high-risk matters as required REQUIREMENTS – Experience in administration or student records, with experience in the education sector highly regarded – Strong attention to detail with a compliance-focused mindset – Confidence working with data and administrative systems, with student management systems desirable – Excellent communication skills and the ability to engage effectively with a range of stakeholders – Demonstrated ability to problem-solve and manage multiple requests accurately – Current Working with Children Clearance – Current police check – Certified right to work documentation – Certified copies of qualifications and transcripts WHY THIS ROLE MATTERS Accurate and compliant student records are fundamental to trust in educational outcomes, regulatory reporting, and the student experience.
