OVERVIEW The Graduate Research Coordinator at the University of Melbourne is a full-time fixed-term role based in Parkville, Melbourne VIC, running until 31 May 2027. Working within Student and Scholarly Services, this position leads graduate research administration and supports the delivery of consistent, policy-compliant candidature processes across the University. The role combines team leadership, systems expertise, stakeholder engagement, and complex case management to improve the graduate researcher experience. KEY RESPONSIBILITIES – Lead and mentor a small team delivering graduate research administrative support across the University. – Coordinate the development and delivery of training, documentation, and updates on candidature management for staff and researchers. – Oversee complex candidature processing and provide expert advice on graduate research matters. – Manage unsatisfactory progress cases in collaboration with senior leaders. – Act as a subject matter expert for graduate research systems. – Lead testing activities and support implementation of system changes. – Contribute to Graduate Research strategy, priorities, and culture. – Support the delivery of responsive, effective, and policy-compliant services for graduate researchers. – Partner with Associate Deans and faculty-based colleagues to ensure consistent candidature management practices. – Help shape processes, systems, policies, and training that influence graduate researcher success. REQUIREMENTS – Degree-level qualification combined with substantial experience in graduate research administration or graduate researcher support within a complex tertiary education environment. – Strong understanding of the academic and personal issues facing graduate researchers. – Exceptional written and verbal communication skills. – Ability to engage diverse stakeholders and manage expectations professionally. – Strong analytical and problem-solving skills. – Experience designing creative solutions and negotiating outcomes in challenging cases. – Excellent organisational and project management skills. – Ability to improve processes and manage competing deadlines. – Experience leading, motivating, and training a small team. – Commitment to fostering continuous improvement and a collaborative team culture. – Confidence using large integrated databases and Microsoft Office. – Ideally, experience with TechnologyOne or similar systems. – Current valid work rights for Australia. – Working with Children Check required. – Visa sponsorship is not available for this role. – Submission of a resume and cover letter as part of the application process.
