OVERVIEW The Student Records Officer at Bendigo Kangan Institute plays a critical role in maintaining accurate, compliant, and reliable student academic records across the organisation. Based at the Essendon campus with travel to other campuses as required, this full-time fixed-term role supports high-quality reporting outcomes and a seamless student experience. The position sits within a large vocational education provider committed to customer service, compliance, and positive social impact. KEY RESPONSIBILITIES – Maintaining and updating student records in line with policies and regulatory requirements – Reviewing and processing amendments including results, withdrawals, attendance, transfers, and enrolments – Managing student account updates, including refunds and holds, in consultation with Finance – Issuing and quality-checking testamurs and awards aligned with the Australian Qualifications Framework (AQF) – Performing data cleansing to support reporting and compliance requirements – Providing advice to internal stakeholders and students regarding record updates – Escalating complex or non-compliant matters as required REQUIREMENTS – Experience in administration or student records, with experience in the education sector highly regarded – Strong attention to detail and a compliance-focused mindset – Confidence working with data and systems, with student management systems desirable – Excellent communication and stakeholder engagement skills – Ability to problem-solve and manage multiple requests with accuracy – Working with Children Clearance – Current police check – Certified right to work documentation – Certified copies of qualifications and transcripts WHY THIS ROLE MATTERS Accurate student records are essential to institutional integrity, regulatory compliance, and student trust.
