OVERVIEW The Academic Programs Officer role at the University of Melbourne supports academic program administration within the Melbourne School of Health Sciences. Based in Parkville, Melbourne, this full-time fixed-term position focuses on delivering accurate, student-centred administrative services across the student lifecycle while supporting staff and student enquiries. The role works closely with academic teams to maintain compliant processes, contribute to quality assurance activities, and improve operational efficiency across health sciences programs. KEY RESPONSIBILITIES – Provide end-to-end administration across the student lifecycle, including orientation, enrolments, timetabling, assessment, results, and completions. – Manage frontline enquiries from students and staff, providing accurate policy advice and escalating complex matters when required. – Support academic quality processes, including special consideration, academic progress, misconduct case management, and Board of Examiners meetings. – Coordinate documentation, reporting, and process improvements to enhance consistency and efficiency in program administration. – Contribute to School activities and committees, including orientation, Open Day, recruitment events, and education excellence initiatives. – Work collaboratively with academics and administrative colleagues across multiple health science disciplines. REQUIREMENTS – Tertiary qualification. – Experience coordinating complex administration within detailed policy frameworks. – Strong organisational and problem-solving skills. – Ability to manage competing deadlines across multiple programs and activities. – Experience providing front-line enquiry support and interpreting policy. – Ability to resolve or triage diverse issues appropriately. – Strong written and verbal communication skills. – Ability to produce high-quality documentation and guidance materials. – Advanced skills in MS Word and Excel. – Ability to quickly learn systems such as StudentOne or similar platforms. – Experience in higher education, government, or large organisations. – Interest in process improvement and continuous learning. – Current valid work rights for Australia. – Working with Children Check requirement. – Application submission including resume, cover letter, and a separate document addressing the Selection Criteria.
