We’re currently seeking a proactive and detail-oriented Enrolments & Compliance Administrator to join our dynamic team and help us maintain high standards while supporting students through their learning journey. The Role: In this pivotal role, you’ll oversee the end-to-end enrolment process and ensure our operations meet all regulatory and compliance requirements. You’ll work closely with students, trainers, and internal teams to provide seamless administrative support, accurate record-keeping, and ensure that compliance obligations are met on time, every time. Schedule of Duties: It is anticipated that your role will include the following duties: Manage the full enrolment process, from initial enquiry to final enrolment confirmation. Ensure student records are accurately maintained and compliant with all regulatory standards (e.g. ASQA). Monitor compliance deadlines and maintain internal reporting systems. Support audits by preparing documentation and liaising with auditors. Provide administrative support to trainers and management staff. Continuously review and improve enrolment and compliance processes for efficiency and effectiveness. Enhance the RTO’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments. You will be required to perform these duties, and any other duties that management may assign to you, having regard to your skills, training and experience. Enrolment Administration Process student enrolments and admissions. Review enrolment applications and supporting documentation. Verify student identity, USI, and eligibility requirements. Assess and process Credit Transfer (CT) applications. Coordinate Recognition of Prior Learning (RPL) enquiries and documentation. Prepare enrolment confirmations, welcome emails and student information packs. Maintain accurate student records in the LMS/SMS (RTO Data Cloud). Manage student withdrawals, cancellations, transfers, and course changes. Student Support Respond to student enquiries via phone and email. Provide guidance on course requirements, assessments and policies. Monitor student progress and follow up on outstanding assessments. Coordinate extensions, reassessments, and academic support where required. Issue Statements of Attainment and qualification certificates. Compliance and Regulatory Responsibilities Ensure compliance with the Standards for RTOs, AQF requirements, and relevant legislation. Maintain accurate student files and compliance records. Verify and retain evidence for Credit Transfer and RPL decisions. Support AVETMISS data collection and reporting. Assist with USI verification and reporting requirements. Monitor compliance with enrolment, attendance, assessment, and certification policies. Prepare documentation for audits and regulatory reviews. Quality Assurance and Continuous Improvement Maintain compliance registers, policies, and procedures. Assist with assessment validation and moderation activities. Record and monitor continuous improvement opportunities. Track trainer and assessor professional development records. Conduct file audits and compliance checks. Support implementation of corrective and preventive actions. Training Administration Prepare class attendance sheets and training materials. Coordinate trainer schedules and student communications. Upload and manage learning and assessment resources within the LMS (RTO Data Cloud). Monitor assessment submissions and marking progress. Generate reports on enrolments, completions, and student outcomes. Reporting and Stakeholder Liaison Prepare compliance
