OVERVIEW The Timetable Officer role at Victoria University supports the delivery of effective teaching and learning through accurate, well-managed class timetables and room scheduling. Based within the Central Timetable Unit, this position works collaboratively across academic colleges, TAFE, and professional services to ensure optimal use of teaching spaces. It is a continuing, full-time role located primarily at the Footscray Park Campus in Melbourne. KEY RESPONSIBILITIES – Develop and publish biannual class timetables in collaboration with colleges and other stakeholders – Configure classes for student allocation using the MyTimetable system – Provide timetable reporting and scenario modelling to support space planning – Manage room bookings and respond to scheduling and timetable-related queries – Conduct physical audits of teaching spaces and maintain accurate inventory data – Liaise with internal teams to minimise disruptions during planned maintenance or capital works – Support the University’s Timetable Helpdesk and resolve complex scheduling issues REQUIREMENTS – Familiarity with systems used across Student Services and Administration, particularly Student One, Allocate Plus, and Timetable Planner – Demonstrated ability to work with and understand academic programs and structures – High-level organisational skills, including the ability to manage complex tasks with competing deadlines – Strong critical thinking, communication, and problem-solving skills – Proven ability to work with complex and sensitive information with confidentiality and impartiality – Willingness to hold or obtain a current Employee Working with Children Check (WWCC) prior to commencement – Full and permanent working rights in Australia, as visa sponsorship is not available for this position WHY THIS ROLE MATTERS Effective timetabling underpins the student experience by ensuring classes run smoothly in appropriate spaces and at suitable times.
