Part Time: 30.4Hrs over four days Roles and responsibilities include: The International Student Program Homestay Coordinator will oversee all of the International student homestay requirements, in line with the Department of Education International Student Program policies and regulations. The role will include the following: Attend to enquiries from prospective homestays Monitor and update homestay program databases regularly with required information and in line with Department of Education (DE) International Student Program (ISP) requirements, including but not limited to: Homestay database; WWCC & Identity database; Homestay responsibility agreement & punctuality contact database; and Child Safe Code of conduct database Regularly check current validity of Working with Children Check at DOJ check status, in line with DE – ISP requirements Send WWCC renewal reminders to homestays Follow up with homestay providers on outstanding mandatory documents Assist and monitor students who are turning 18 in WWCC application as required Send Homestay profiles parents/students Enter homestay profile data in the Department of Education VISIT system Prepare Homestay Responsibility Agreements for homestay and students Send fully signed Homestay Agreements to parents Distribute homestay invoices to parents & students Organise homestay documents for visits to new homestay applicants Prepare inspection list and Site visit checklists for half-yearly visits to current homestays Complete Site visit checklists and enter inspection comments in the homestay database for reviews Send Homestay documents and Child Safe information to all homestays/carers, students, and parents Contact parents about homestay issues and advise them of homestay change Assist the International Student Coordinator (ISC) with the Change of welfare procedure and IED Change of Welfare Options paperwork as required Prepare and send new arrival/enrolment advice to parents/agents for incoming students Assist ISC with arrival/ reception support when required Liaise with the Finance Manager regarding invoice payments for overseas parents & follow up; invoice payments to homestay local parents and follow up; and maintain the data bases. Work with the front office administration team and International Student Coordinator regarding student enrolment on CASES, the master database, RTP processes and student application status via VISIT, Support in written and verbal communication with various stakeholders within the program in particular in relations to VISA requirements, school disbursements, student progress & compliance requirements. Monitor holiday register including holiday form, itinerary and parent consent Contact incoming students/ parents/ agents regarding incoming students¿ visa grant status and specific homestay requirements Support the ISC with new enrolment update with system managers ¿ notify VASS, library, timetable and Compass Assist the ISC with any required tasks Any other duties as required and directed by the Principal Applicants must apply via the DET recruitment portal at https://www.education.vic.gov.au/schooljobs Job ID: 1526633 Closing Date: 20/05/2026
