Job Description
The University of Birmingham is seeking an Operations and Engagement Officer to work in the Birmingham Global office within the External Relations department on the Edgbaston campus. The Birmingham Global team is responsible for advancing the University’s global research and education priorities, which includes managing engagement with strategic regions, university partnerships, and external stakeholders. We aim to enhance the University’s international reputation through various activities, such as high-profile events, campaigns, and delegations. Collaboration with colleagues in different departments is essential for our work.
The successful candidate will lead an administrative team in Birmingham Global, ensuring the provision of an effective and high-quality administrative service to the team. This involves managing individuals within a matrix team structure, conducting annual reviews, and holding team and individual meetings. As the team leader, the postholder will create a motivating environment that fosters staff development, encouragement, challenges, and support.
The postholder will support the University’s global engagement activities through defined projects and workstreams. This includes providing project support for engagement with strategic regions, university partners, and networks, such as the Universitas 21.
Managing events led by Birmingham Global will also be a responsibility, which involves working with regional leads to ensure the successful organization of incoming and outgoing delegations. The postholder will also manage impactful in-person and virtual events across different regions within Birmingham Global. Additionally, the postholder will assist with budget monitoring and proactive budget management, including reporting and compliance.
In addition to the main duties, the postholder will contribute to broader global engagement and institutional priorities within the Birmingham Global team. This may include supporting other University events and activities, such as open days and the clearing hotline.
A flexible and collaborative approach to work is expected from the postholder. They should be proactive, using their initiative and planning skills to prioritize tasks effectively, address any issues, and propose solutions.
While international travel is not a regular part of this role, there may be occasional travel overseas required to fulfill job responsibilities, possibly including work on weekends and evenings.
The ideal candidate should hold a Degree (or equivalent) qualification. If no equivalent qualification is held, significant practical relevant experience in a similar role is required. The postholder should have extensive practical experience in a similar position, excellent organizational skills, and experience in team management
