The Administrative Assistant to the Dean position supports the academic departments of the university under the guidance of the Dean. The individual in this role ensures compliance with school and university policies and procedures, as well as the completion of projects and initiatives. Strong interpersonal, organizational, communication, writing, project management, and analytical skills are required, along with the ability to work independently. The Administrative Assistant to the Dean works closely with the Dean, Program Director, and faculty to maintain and enhance program operations, delivering high standards of service to students, faculty, and staff. This includes proactive resolution of student issues and providing exceptional customer service. The position also entails managing sensitive information with tact, discretion, and professionalism. As a program support role, the Administrative Assistant to the Dean interacts extensively with various campus constituencies, including Deans, program directors, faculty academic advisors, and non-program faculty and staff. The starting salary for this position is $60,000. Minimum qualifications include a bachelor’s degree from an accredited college or university, or an equivalent combination of education and experience. Demonstrated experience in constituent interface and problem-solving in multicultural environments is required, with preference given to candidates with professional experience in a post-secondary institution. Key skills for this role include proficiency in computer skills, particularly with Microsoft Office and student data systems, strong administrative, planning, and organizational skills, effective communication and interaction with diverse individuals, and the ability to work collaboratively in a team-oriented environment. The ideal candidate will be highly motivated, results-oriented, able to manage multiple tasks and deadlines, and exhibit a positive and supportive demeanor in all interactions. Attention to detail and prioritization skills are also crucial. Specific duties and responsibilities of the Administrative Assistant to the Dean include processing expenses, facilitating reimbursements and invoices, initiating personnel action notifications, organizing and maintaining schedules, arranging travel, responding to and troubleshooting issues, managing scholarships and awards, tracking faculty workload agreements, assisting with faculty annual reviews, conducting research, and interfacing with internal and external constituencies. This position reports to the Dean and has direct supervisory responsibility for student assistants. The primary work location is on campus, with standard office hours and no travel requirements. The work environment is a standard office setting, and physical requirements include regular sitting, mobility, communicating in person and on the telephone, keyboarding, and reading.
